Work Order

Summarize with

What is a work order?

A work order is a document that turns a request into a job someone can do. It says what needs doing, where, for whom, by whom and by when, and after the job it holds the record of what actually happened. In a field business, almost every visit to a site starts with one.

Think of the difference between "can someone look at the inverter at the Pune site?" and a work order that says which inverter, which fault code, who is going on Thursday, which parts to carry and who will sign when the job is done. The first is a hope. The second is a job.

Work orders go by other names. Some firms call them job orders, job cards or job sheets. The idea is the same, and the name matters less than using one consistent document for every job.

A simple example to understand it

Meet Anita, who runs the service desk at a rooftop solar company in Pune. A customer phones to say that the output of her 10 kW system has dropped. Anita writes it up as a work order:

  • Client and site: Mrs. Deshmukh, Baner, Pune.
  • Job: Check the inverter fault, test the output and report the reading.
  • Assigned to: Imran, with a visit window on Thursday morning.
  • Parts to carry: One replacement DC connector, in case the fault is wiring.
  • Close-out: Imran records what he found, the parts used, the time spent and gets the customer's sign-off.

Two weeks later, the customer asks what was done. Anita opens the work order and answers in a minute, with the date, the person, the fix and the signature.

Why work orders matter

For a beginner, a work order can look like paperwork. It is actually the thing that stops a business from running on memory.

  • Fewer wasted trips. The technician arrives knowing the job, the site and what to carry.
  • A clear owner for every job. One job has one name against it, so nothing sits in a shared chat group with nobody responsible.
  • A record you can defend. When a client disputes a bill or a warranty claim comes back, the answer is on file.
  • Real cost per job. If labour and parts are recorded against the work order, you can see which jobs earn money and which lose it.

Work order vs purchase order vs quote

These three documents get mixed up because they all carry a number and a price. They do different jobs.

DocumentWhat it isWho it is for
Work orderAn instruction to do a job, plus a record of what was doneYour own team
QuotationA price you offer a client before the workYour client
Purchase orderAn order for goods or services from a supplierYour supplier
Service ticketA client's request for help, which often becomes a work orderYour client

The tidy way to connect them is to give every document the same job number, so each one can be traced back to the others.

Types of work orders

Most firms see five kinds of work. Knowing the type helps you plan the visit and count the work later.

  1. Preventive. Planned work on a schedule, so equipment does not fail. See preventive maintenance.
  2. Corrective. Fixing a fault that has been found or reported. See corrective maintenance.
  3. Emergency. An urgent breakdown or safety issue that cannot wait. See breakdown maintenance.
  4. Installation or project. New work that runs in stages, from approvals to handover.
  5. Inspection. A check that ends in a report rather than a repair.

Common mistakes with work orders

  1. Giving the job no number. Without a unique number, nobody can trace the job through the quote, the stock issue and the invoice.
  2. Putting several jobs on one work order. One job should have one owner and one sign-off, otherwise nobody knows which part is finished.
  3. Writing vague instructions. "Check the inverter" leaves the technician guessing. A clear description saves a phone call or a second visit.
  4. Closing without sign-off. If nobody confirms the job is done, disputes arrive later and the invoice stalls.

How ZEP360 handles work orders

In ZEP360, a work order is not a separate document that someone retypes. The approved quote in ZEP Sales becomes the job in ZEP Projects, so the client and site details carry over. The crew and the date are assigned in the same place, stock for the job is issued from ZEP Inventory, and for maintenance contracts, ZEP Service schedules the recurring visits and renewals. Complaints raised through ZEP Customer Support carry a clock and an owner.

If you are starting out with spreadsheets, that is fine. Our free guide includes three work order templates (general, installation and AMC) that you can copy into your own Google Sheets. When the same details keep getting typed into quotes, stock sheets and invoices, it is time to look at field service management software.

Frequently Asked Questions

What is the difference between a work order and a job order?

Very little. Both are written instructions to carry out a job. Job order is more common in some regions and industries, and work order is the standard term in maintenance and field service. Pick one name and use it everywhere.

Who creates a work order?

Usually the office, a service desk or a project manager. It can start from a client request, a service ticket, an approved quote or a maintenance schedule. The person raising it should make sure the job, the site and the due date are clear before it goes to a technician.

What should a work order include?

At minimum: a unique job number, the client and site, a clear description of the work, who will do it and when, and a sign-off when it is finished. Add parts, safety notes and cost if you need to track them.

Is a work order the same as an invoice?

No. A work order is an instruction and a record of work, while an invoice asks the client to pay. The work order often supplies the details that go onto the invoice, which is why they should share one job number.

Do I need software to manage work orders?

Not at the start. A spreadsheet or a printed template works for a few jobs a week. Software starts to help when the same details are typed into quotes, stock sheets and invoices, or when you cannot tell which jobs are open and which are late.

Can a work order be used for AMC visits?

Yes. For an annual maintenance contract, each planned visit gets its own work order that records the checks done, readings taken and the next visit date. This is how you prove the contract was delivered. See Annual Maintenance Contract.
