Annual Maintenance Contract (AMC)

Summarize with

What is an annual maintenance contract?

An annual maintenance contract, or AMC, is a yearly agreement between a customer and a service provider. The customer pays a fee, and the provider commits to looking after specified equipment: visiting on a schedule, fixing faults and, depending on the contract, supplying parts.

People often hear "AMC" for the first time when buying something that needs upkeep, such as an air conditioning system, a lift, a generator or a rooftop solar plant. The installer sells the equipment, and the AMC is what keeps it working for the years that follow.

For the installer, an AMC is also the difference between a one-time sale and a relationship that earns every year.

A simple example to understand it

Meet Rohit, who owns a company that installs rooftop solar for small factories. After installing a 100 kW plant for a customer in Pune, he offers a one-year AMC with these terms:

  • Visits: four planned visits a year, every three months.
  • Work on each visit: panel cleaning check, inverter and connection checks, output readings, and a written report.
  • Fault response: a technician reaches the site within a promised time of a reported fault.
  • Parts: labour is covered. Parts are either included or quoted separately.
  • Fee: a fixed yearly amount agreed up front.

Each visit is recorded, and 60 days before the contract ends, Rohit sends a renewal offer.

Types of AMC

  • Comprehensive AMC. The provider covers labour and the parts needed to repair the equipment, within any limits stated in the contract. It is simpler for the customer and costs more.
  • Non-comprehensive AMC. The provider covers labour and visits. Parts that need replacing are quoted separately, and the customer approves and pays for them.

Some contracts mix the two, for example including consumables but not major parts. What matters is that the contract says clearly which side pays for what.

What an AMC should state

A clear AMC usually covers nine things:

  1. Scope. Which equipment, at which site, is covered.
  2. Term. Start date, end date and how renewal works.
  3. Visit schedule. How many planned visits and when.
  4. Response time. How quickly the provider responds to a fault. See service level agreement.
  5. Exclusions. What is not covered, such as damage from misuse, floods or unauthorised repairs.
  6. Parts. Whether parts are included and any cap on their value.
  7. Price. The fee, what it includes and how GST is applied.
  8. Renewal. How the contract is renewed and whether the price changes.
  9. Termination. How either side can end it.

Common mistakes with AMCs

  1. Vague scope. If the contract does not list the equipment and the checks, disputes arrive at the first fault.
  2. No visit record. Without a written record per visit, you cannot prove the contract was delivered.
  3. Renewals depend on memory. An expired AMC means lost revenue for the provider and unprotected equipment for the customer.
  4. Treating all customers the same. Different sites and equipment need different visit schedules and response times.
  5. Ignoring tax. In India, AMC services are generally taxable, so the quote should state how GST is applied. Check the current rate with your accountant.

How ZEP360 handles AMCs

ZEP360 treats the contract as the thing that creates the work. You draft, approve and e-sign the contract in the same system as the job, and AMC renewals are tracked per unit, so each piece of equipment has its own renewal date. Visits follow the contract through ZEP Service, preventive maintenance schedules and reminders run automatically, and SLA timers escalate before a breach. Spare parts used on a visit are scanned from van stock, and every visit builds the equipment's history. The next visit and the renewal are never waiting on someone's calendar. Frequently Asked Questions

What does AMC stand for?

AMC stands for annual maintenance contract. In India and the Gulf, the term is used for yearly service agreements on equipment such as air conditioners, lifts, generators and solar plants. It should not be confused with other uses of the same letters, such as the cinema chain.

What is the difference between comprehensive and non-comprehensive AMC?

A comprehensive AMC covers labour and the parts needed to repair covered equipment, within any stated limits. A non-comprehensive AMC covers labour and visits, but parts are quoted and paid for separately. Read the exclusions carefully in either case.

Is an AMC the same as a warranty?

No. A warranty comes with the product and covers defects for a set period. An AMC is a separate paid agreement for ongoing maintenance, often starting when the warranty ends or running alongside it for planned visits.

How much does an AMC cost?

It depends on the equipment, the number of visits, whether parts are included and the response time promised. Many providers price it as a percentage of the equipment value or per unit per year. Ask for a written quote that states exactly what is covered.

Can an AMC be renewed automatically?

Yes, if the contract says so. Many AMCs renew on a set date unless either side gives notice. Put the renewal date and the notice period in writing, and set reminders well before the date.

What should I check before signing an AMC?

Check the equipment list, visit schedule, response time, exclusions, parts policy, price with taxes, renewal terms and how to end the contract. Ask how visits are recorded, so you receive proof of each one.
